APPENDIX A
The following job descriptions of the Officers are defined by the SNA at UCF Orlando as:
Appendix A.
- All Board Members:
- To be eligible for a Board position, the candidate must meet the following criteria: a) cumulative GPA of 3.0 or higher at the time of election (verified by the faculty advisor); b must be a full-time student in University of Central Florida’s College of Nursing Program for the entirety of their term. In order to remain a board member in good standing, a GPA of 3.0 but be maintained throughout the elected term.
- Board members are expected to attend all monthly general body, board meetings, and emergency meetings. Absences may be excused by the President and the advisors with advanced notification. When board members cannot attend a meeting, they are expected to find another board member who can read and answer questions about their monthly report.
- Attend the fall Florida Nursing Student Association (FNSA) Convention, which is usually the last weekend of October or the first week of November.
- Attend the National NSNA Convention (budget permitting), which is usually the first week of April.
- Attend and assist with fundraising, community health, breakthrough to nursing, and College of Nursing events when able.
- Meet with your designated advisor at least once per month, and communicate with them via other means at least once per month. Communication can take place via an office visit, a discussion before or after class, a phone call, e-mail, or text message.
- Complete other duties as assigned by the President.
II. President:
- Eligible to run and maintain board membership according to the criteria outlined in Appendix A-I (All Board Members).
- Serves one year (April-April) as President of the SNA of UCF Orlando
- Presides over Chapter and Board meetings.
- Represents the chapter at state and national meetings
- Communicates with the FNSA president and UCF chapter officers to ensure smooth communication.
- Writes at least two articles while in office and submits them to the newsletter editor for publication.
- Sets agenda for board meetings and assists Secretary in creating general member agenda.
- Follows up with board members between meetings on the work of the chapter.
- Submits forms and applications for chapter activities (yearbook, organizations, career day, organization day) etc.
- Complete financial training through UCF’s Student Government Association (SGA).
III. President Elect:
A. Eligible to run and maintain board membership according to the criteria outlined in Appendix A-I (All Board Members).
B. Serves from September to April as the President Elect, and serves one year as President of the SNA at UCF Orlando.
C. The President Elect will train for the President role under the current occupant.
D. If the President is unable to attend a Board meeting or a general body meeting, the President Elect will step in when available.
E. Must attend national convention in spring as President Elect and state convention during the fall as the President of SNA at UCF Orlando.
IV. Vice President:
- Eligible to run and maintain board membership according to the criteria outlined in Appendix A-I (All Board Members).
- Serves one year (August-August) as Vice President of the SNA of UCF Orlando
- Attends Chapter and Board meetings
- If the President or President-elect is unable to attend a Board meeting or a general body meeting, the Vice President will be expected to fulfill their responsibilities.
- Responsible for finding and securing the services of a speaker for each monthly general body meeting.
- Developing and executing a plan for food and supplies for each monthly general body meeting.
- Records and manages SNA points for all general members and recognizes top point earners in each cohort prior to graduation.
V. Vice President Elect:
- Eligible to run and maintain board membership according to the criteria outlined in Appendix A-I (All Board Members).
- Serve from February to August as Vice President elect, and serve one year as Vice President of the SNA at UCF Orlando.
- The Vice President elect will train for the Vice President role under the current occupant.
- If the Vice President is unable to attend a Board meeting or general body meeting, the Vice President Elect will be expected to step in if they are available.
VI. Secretary:
- Eligible to run and maintain board membership according to the criteria outlined in Appendix A-I (All Board Members).
- Serves one year (April-April) as Secretary of the SNA of UCF Orlando
- Attends Chapter and Board meetings
- Records minutes at all meetings, and submits information to the Lifeline Newsletter Editor.
- Arranges for minutes coverage during the meeting. Submits minutes, even if absent from the meeting.
- Provides thank you notes and gifts for monthly general body meeting speakers.
- Maintains records of agendas and minutes to be passed on the future Boards via Google Drive.
- Represents the undergraduate student body at the Undergraduate Curriculum Committee, bringing forth the student’s suggestions.
VII. Treasurer:
- Eligible to run and maintain board membership according to the criteria outlined in Appendix A-I (All Board Members).
- Serves one year (April-April) as Treasurer of the SNA of UCF Orlando
- Attends Chapter and Board meetings
- Completes financial training through UCF’s Student Government Association.
- Collects dues from members.
- Writes checks or uses bank card for chapter expenses, and makes bank deposits.
- Responsible for the annual membership drive.
- Maintains membership list by graduating year, in alphabetical order, with NSNA numbers, and notifies members for renewals each semester.
- Reports on total membership and bank balance at each Board and General Body meeting.
- Sends out monthly financial documents for signatures.
- Presents the financial report each Board meeting, and a brief report each chapter business meeting.
VIII. Treasurer Elect
- Eligible to run and maintain board membership according to the criteria outlined in Appendix A-I (All Board Members).
- Serves as Treasurer Elect from September to April, and serves for one year as Treasurer of the SNA Chapter at UCF Orlando.
- The Treasurer elect will train for the Treasurer role under the current occupant.
- If the Treasurer is unable to attend a Board meeting or a general body meeting, the Treasurer Elect will be expected to step in if they are available.
IX. Merchandise Director:
- Eligible to run and maintain board membership according to the criteria outlined in Appendix A-I (All Board Members).
- Serves one year (August-August) as Clubhouse Director of the SNA of UCF Orlando
- Attends Chapter and Board meetings
- Sets up merchandise and assists in the selling of merchandise at general body meetings.
- Organizes the SNA at UCF Orlando Clubhouse.
- Documents inventory on a regular basis.
- Chairs clubhouse committee.
- In cooperation with the clubhouse committee, designs and assists in the selling of clubhouse merchandise.
- Presents purchase approvals to the Executive Board.
- Assists the fundraising director with pre-orders.
X. Accelerated Liaison:
- Eligible to run and maintain board membership according to the criteria outlined in Appendix A-I (All Board Members).
- Serves one year (August-August) as Accelerated Liaison of the SNA of UCF Orlando
- Attends Chapter and Board meetings
- Serves as student representative to the Undergraduate Curriculum Committee.
- Serves as liaison and student representative of the Accelerated Cohort notifying of upcoming events, meetings, and opportunities.
- Coordinates and assists with the Alumni Mentorship program by promoting and communicating details to the accelerated cohort.
- Coordinate and prepare Senior Composite for the recognition ceremony.
XI. Fundraising Director:
- Eligible to run and maintain board membership according to the criteria outlined in Appendix A-I (All Board Members).
- Serves one year (April-April) as Fundraising Director of the SNA of UCF Orlando
- Attends Chapter and Board meetings
- Coordinates fundraising events.
- Assists SNA clubhouse director with pre-orders.
- Presents purchase approvals to the Executive Board.
- Chairs fundraising committee.
XII. Fundraising Director Elect:
- Eligible to run and maintain board membership according to the criteria outlined in Appendix A-I (All Board Members).
- Serve from February to August as Fundraising Director elect, and serve one year as Fundraising Director of the SNA at UCF Orlando.
- The Fundraising Director elect will train for the Fundraising Director role under the current occupant.
- If the Fundraising Director is unable to attend a Board meeting or general body meeting, the Fundraising Director elect will be expected to step in if they are available.
XIII. Breakthrough to Nursing Director:
- Eligible to run and maintain board membership according to the criteria outlined in Appendix A-I (All Board Members).
- Serves one year (April-April) as Breakthrough to Nursing Director of the SNA of UCF Orlando.
- Attends Chapter and Board meetings.
- Plans school visits to educate elementary, middle, high school, and other college students about the nursing profession.
- Submits a report prior to State convention regarding BTN activities during the previous calendar year for the BTN State award.
- Completes BTN report of activities forms and keeps track of BTN points earned by chapter.
- Recruits members for a BTN committee and chairs the committee.
- Invites Pre-Student Nurse Association and Concurrent UCF students to join SNA meetings and events.
- Plans and implements retention programs for the chapter.
- Develops mentoring links for student nurses in the program, this includes the Junior/Senior Buddy Project.
XIV. Community Health Director:
- Eligible to run and maintain board membership according to the criteria outlined in Appendix A-I (All Board Members).
- Serves one year (April-April) as Community Health Director of the SNA of UCF Orlando.
- Attends Chapter and Board meetings.
- Plans at least one community event per month.
- Submits a report prior to State convention regarding service activities during the previous calendar year for the Community Health FNSA award.
- Submits list of participants and total hours to secretary for record-keeping.
- Acts as a liaison with community groups to develop future community service projects.
- Recruits members for the community service committee and chairs that committee.
XV. Legislative Director:
- Eligible to run and maintain board membership according to the criteria outlined in Appendix A-I (All Board Members).
- Serves one year (April-April) as Legislative Director of the SNA of UCF Orlando.
- Attends Chapter and Board meetings.
- Completes Financial Training through UCF.
- Keeps the chapter informed about legislative actions in the state.
- Recruits members to run for Chapter, State and National office.
- Support members pre-slating for State and National office and distribute officer descriptions.
- Support members pre-slating and running for Chapter board and distribute officer descriptions.
- Creates the Election Ballot and counts results for the chapter.
- Directs bylaw revisions, and ensures that bylaws are continuously updated and published on the website.
- Directs Policy and Procedure document revisions, and ensures that Policies and Procedures are regularly updated and published on the website.
- Drafts and submits Resolution for the SNA at UCF Orlando for State and National conventions.
- Encourages and instructs members on how to draft resolutions to send to State convention.
- Chairs the legislative committee and recruits members.
XVI. Legislative Director Elect
- Eligible to run and maintain board membership according to the criteria outlined in Appendix A-I (All Board Members).
- Serve as the Legislative Director Elect from September to April, and serve for one year as Legislative Director of the SNA Chapter at UCF Orlando.
- The Legislative Director elect will train for the Legislative Director role under the current occupant.
- If the Legislative Director is unable to attend a Board meeting or a general body meeting, the Legislative Director Elect will be expected to step in when available.
XVII. Historian:
- Eligible to run and maintain board membership according to the criteria outlined in Appendix A-I (All Board Members).
- Serves one year (April-April) as Historian of the SNA of UCF Orlando.
- Attends Chapter and Board meetings.
- Coordinates and creates end of the year videos in review for their graduating class.
- Coordinates and schedules senior pictures.
- Organizes the SNA Back to School BBQ during the Fall Semester to welcome the incoming cohorts.
- Organizes the annual Joyce Degenaro Kickball game in the spring semester.
- Organizes the SNA at UCF Orlando team for annual Relay for Life in the spring, including theme and walkers schedule.
- Attends all captain meetings and organizes fundraising efforts for Relay for Life.
- Attends the Relay for Life event and ensures that there are representatives there for the SNA at UCF Orlando team for the entirety of the event.
XVIII. Media Director:
- Eligible to run and maintain board membership according to the criteria outlined in Appendix A-I (All Board Members).
- Serves one year (April-April) as Media Director of the SNA of UCF Orlando.
- Attends Chapter and Board meetings.
- Distributes a monthly newsletter for all student nurses.
- Maintains the SNA at UCF Orlando website.
- Ensures Bylaws and Policy and Procedures Documents that are uploaded are currently up-to-date.
- Maintains SNA Facebook, Instagram, and TikTok pages/accounts.
- Arranges for coverage during the meeting or events to have pictures taken if unable to attend a meeting or event.
- Submits newsletters for State convention newsletter award.
- Reports any important chapter news to State newsletter editor.
- Works cooperatively with Historian and publishes events and pictures.
- Chairs the Social Media Committee.
APPENDIX B
- Cash Box Policy
- One Faculty advisor or two SNA board members must be present at all times with the cashbox. Board members can qualify for solitary cashbox management if they participate in UCF’s Student Government Association’s Financial Training Workshop.
APPENDIX C
- Points Breakdown
- The board member in charge of the event is responsible for the roster of participation. The roster will need to be given to the Vice-President after the event at the beginning of each month for the previous month of activities.
- Prizes: Top 3 point-earners from each graduating class will receive a free SNA cord.

APPENDIX D
- Consultants have a right to:
- Be heard by the Board when offering information, advice, or a historical perspective.
- Function as an advisor and not be utilized as support staff, performing duties that can and should be performed by members of the board or association employees.
- An annual evaluation by the board.
- Expect reimbursement for any board approved travel expenses associated with their work on behalf of the association that is not compensated by the College of Nursing.
- Review all financial documents.
- Be provided with necessary resources and information in order to adequately perform their role.
- Regularly communicate with the NSNA and FNSA consultants and/or staff to seek clarification and support in their role as consultant.
- Attend all board and state and national conventions when possible.
- Their own accommodations for state and national conventions, and to not share a room with student members.
- Be informed of all communication that takes place between the chapter, and the FNSA and NSNA.
- Serve as appointed by the Dean of the College and approved by the Board with a term renewable each academic year by the Dean.
APPENDIX E
- Consultants have a responsibility to:
- Acknowledge and respect the student led governance structure of the organization.
- Facilitate discussions leading to decision making by the board while refraining from directing the outcomes.
- To maintain continuity as student leadership is short-term and changes composition year to year.
- Act as a professional role model and mentor.
- Attend all board and other meetings of the association such as FNSA and NSNA conventions whenever possible.
- Refer to members of the board by their title and not as “students” or “kids” or any other term that diminishes the importance of their role.
- Provide guidance to all board members about their leadership roles and responsibilities; for example; how to conduct effective meetings and conflict prevention and resolution.
- Adhere to ethical principles on all matters including that of confidentiality.
- Be an NSNA sustaining member and be a member of at least one professional nursing organization.
- Ensure that board members understand and advise them to follow all national, state, and chapter bylaws and policies.
- Keep the board informed of all communications with the state or national offices.
- Maintain an informal collegial peer review process with other consultants within their state association.
- Advise board members on decisions regarding major expenditures and responsible fiduciary actions.
- Serve as contact for outside vendors as required by the vendor and/or the College of Nursing.
- Facilitate communication lines for board members with the appropriate college representatives or university departments.
- Meet with assigned individual board members as appropriate.
- Provide guidance on Roberts Rules of Order when appropriate.
